What are WhatsApp Forms?

A WhatsApp Form is a fill-in form that opens inside the WhatsApp chat itself, with no link to follow, no browser and nothing to install. The customer taps a button, completes the fields on a single screen, and the answers arrive in your submissions table already joined to their contact record.

1. Are WhatsApp Forms and WhatsApp Flows the same thing?
Mostly, and the overlap causes real confusion. "WhatsApp Flows" is Meta's own name for the in-chat form feature, which is what this page is about. Inside Waplify the same thing is called a Form, because that is what a customer sees. Separately, Waplify has a chatbot builder that people also call flows: that is a different feature for automating a conversation, and it lives on the WhatsApp chatbot page. A chatbot flow can send a form.
2. How do I create a form on WhatsApp?
Build it in the visual builder by dragging the fields you need onto a screen, check it in the live preview, then publish it. Publishing validates the form locally first and registers it with Meta. 3. What can a WhatsApp Form collect?
Twelve kinds of answer. Short text, which can be set to accept a number, an email, a phone number or a passcode; a long answer box; a dropdown; radio buttons; checkboxes; tappable chips; a date picker and a date-range picker; a photo upload; a document upload; a consent tick box; and a navigable list. A single screen holds up to 50 components, a photo or document question accepts up to 30 files, and each file can be up to 25 MB.
4. Do customers need to install anything?
No. The form opens inside the WhatsApp app they already have, over the top of the conversation. There is no link to follow, no browser, no account to create and no app to download. That is the whole reason a native form finishes at a higher rate than a link to a web form.

6. Can I send a form from a campaign or a sequence?
Yes, both. A form can go out inside an open conversation as an interactive message, on an approved template from a broadcast campaign, or as a step inside a drip sequence. Every recipient gets their own token, so each response is matched back to the person and the send it came from.
7. Can I export the responses to Excel?
Yes. Every form exports its submissions as a CSV file, which opens directly in Excel, Google Sheets or Numbers. There is also a cross-form view listing responses across all of your forms in one place. Uploaded photos preview as thumbnails and open full size, documents download in one click, and sends are stored alongside responses, so a form that went out and was never answered is visible too rather than just missing.
8. Can the answers go straight into another tool?
Yes, without anyone exporting anything. When the form is sent from inside a flow, the steps that run after it can act on what was entered: a Google Sheets block appends the answers as a new row, and a webhook block posts them to your own system, your CRM or an automation tool. 9. Can I edit a form after publishing it?
Not in place. A published form is locked, which is deliberate: people may be part-way through filling one in. To change it, clone it and edit the copy, which the builder does for you. Only a draft can be deleted; a published form is deprecated instead, so its existing responses are never orphaned.
10. Is WhatsApp Forms free?
There is no separate Meta fee for the form itself. Sent inside an open conversation there is nothing extra to pay, and sent on a template you pay the ordinary template fee for that message and nothing more. 11. I already built forms in WhatsApp Manager. Do I have to rebuild them?
